PropSala ("we," "our," or "us") operates a property maintenance management platform that enables landlords to manage maintenance requests and communicate with tenants via automated SMS. This Privacy Policy explains how we collect, use, disclose, and protect information when you use our platform, website at propsala.com, and SMS messaging services (collectively, the "Service").

By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, do not use the Service.

2.1 Information Provided by Landlords

  • Account registration information (name, email address, password)
  • Contact information (phone number, backup phone number)
  • Property information (address, unit details)
  • Tenant information entered on behalf of tenants (name, phone number, email, lease dates)
  • Contractor information (name, company, phone, email, specialty)
  • Payment information processed by third-party payment processors

2.2 Information from Tenants via SMS

  • Phone number (collected automatically when a tenant texts our number)
  • Content of text messages describing maintenance issues
  • Photos and images sent via MMS
  • Conversation history related to maintenance requests

2.3 Automatically Collected Information

  • Log data (IP addresses, browser type, pages visited, timestamps)
  • Device information (browser version, operating system)
  • Usage data (features used, actions taken within the Service)
  • Cookies and similar tracking technologies for session management

3. How We Use Your Information

4. SMS Communications and TCPA Compliance

4.1 Consent

By being enrolled in the Service by a landlord, tenants consent to receive automated maintenance-related text messages from PropSala at the phone number provided. These messages are transactional and service-related in nature (not marketing). Message frequency varies based on maintenance activity.

4.2 Opt-Out

Tenants may opt out of receiving SMS messages at any time by replying STOP to any message. Upon receiving a STOP request, we will send one final confirmation message and cease all further SMS communications to that number. To re-subscribe, reply START.

4.4 Message & Data Rates

Message and data rates may apply. PropSala is not responsible for charges imposed by your mobile carrier.

4.5 No Sharing of SMS Consent

Mobile opt-in data and consent will not be shared with any third parties for their own marketing purposes under any circumstances.

4.6 SMS privacy (A2P)

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes.

5. How We Share Your Information

We may share your information only in the following limited circumstances:

  • Service Providers: We share data with trusted third-party vendors who assist in operating the Service, including Twilio (SMS delivery), Anthropic/Google (AI triage processing), and cloud hosting providers. These providers are bound by confidentiality obligations and may not use your data for their own purposes.
  • Between Landlord and Tenant: Maintenance request information is shared between the relevant landlord and tenant as necessary to resolve issues.
  • Legal Requirements: We may disclose information if required by law, subpoena, court order, or to protect the rights, property, or safety of PropSala, our users, or the public.
  • Business Transfers: In the event of a merger, acquisition, or sale of assets, user information may be transferred. We will notify users via email or prominent notice on our website before such a transfer.

We do not sell, trade, rent, or otherwise share your personal information with third parties for their marketing purposes.

All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

6. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you the Service. Landlords may delete tenant records at any time through the dashboard. Upon account deletion, we will delete or anonymize your personal data within 90 days, except where we are required by law to retain it longer.

SMS conversation histories related to maintenance requests are retained for a period of 3 years for compliance and dispute resolution purposes, after which they are permanently deleted.

We do not use advertising cookies, analytics cookies, or any tracking technologies beyond those listed above. We do not use third-party analytics platforms (e.g. Google Analytics) on this service.

8. Data Security and Breach Notification

We implement commercially reasonable technical and organizational measures to protect your personal information, including encryption in transit (TLS), hashed password storage, and role-based access controls. However, no method of transmission over the internet or electronic storage is 100% secure.

In the event of a data breach that affects your personal information, we will:

  • Notify affected users within 72 hours of discovery of the breach
  • Describe the nature of the breach, data affected, and likely consequences
  • Describe the measures taken or proposed to address the breach
  • Notify applicable state authorities as required by state breach notification laws
